A school office does the same jobs every year: admitting students, marking attendance, issuing fee vouchers, chasing unpaid fees, entering marks, printing report cards, paying staff and keeping parents informed. When these live in separate registers and spreadsheets, the same details are typed again and again, and nobody is quite sure which copy is right.
Our School Management System puts all of it in one place. This guide walks through how it works, based on the full user manual.
One system for the whole school
The system runs in a web browser (Chrome, Edge or Firefox) on a computer, tablet or phone, so nothing needs to be installed. We host it on our cloud, or install it on the school's own server.
It works for a single school or a group of campuses. Each campus has its own code, principal, calendar and settings, while the owner can choose "All campuses" to see combined figures. Sessions, classes, fee heads, grading and message wording are all set by the school, so it fits schools in any country.
Who can do what
| Role | Main work |
|---|---|
| Super Admin | Everything on all campuses: campuses, sessions, school settings and combined reports |
| Campus Admin | Everything on their own campus, including attendance corrections, publishing results and finalizing payroll |
| Front Office | Enquiries, admissions, student records, certificates, notices, parent logins and the library counter |
| Accountant | Fee setup, vouchers, collection, defaulters, transport riders and preparing payroll |
| Teacher | Their class's attendance, marks for their subjects and their timetable |
| Parent | The parent portal: their own children's attendance, fees, results and notices |
Some actions are kept for admins on purpose: cancelling a voucher, reversing a receipt, waiving a late fine, finalizing payroll, unlocking marks and publishing results.
First-time setup
The administrator does a short checklist once: school details and logo, bank details printed on vouchers, admission number format, campuses, the academic session, classes and sections, subjects, staff user accounts, teacher assignments, weekly off days and holidays, fee setup, students, exam setup, staff and salary structure, the timetable and message settings. Existing students and guardians can be imported from an Excel template, and every row is checked before anything is saved.
Admissions and student records
Admission follows three steps: an enquiry with a follow-up date, a registration with a test and a decision, and admission, which gives the student a class, a section and an admission number. If the guardian already exists, the new child is linked automatically, so brothers and sisters are recognised as siblings.
Each student has one profile with personal details, photo, guardians, siblings, documents, attendance and the fee ledger. Withdrawal is recorded on the profile, and school leaving and character certificates are issued with their own numbers. A leaving certificate is only issued when no fees are outstanding.
Attendance with same-day alerts
The class teacher opens their section; everyone starts as present, so only the few absent, on leave or late students need a click. After saving, one button sends a WhatsApp absence alert to each absent student's guardian, never twice in one day. The office sees a daily absentee list with phone numbers and a monthly sheet per section. Weekly off days and holidays can't be marked and don't count in percentages.
Fees, vouchers and collection
Fee setup
Fee heads such as tuition, exam or admission fee are either monthly or one-time, with an amount for each class. Concession types such as sibling, staff child or merit take a percentage or a fixed amount off. Each campus sets a due day and a late fine, either fixed or per day with a maximum.
Vouchers for a whole campus in one run
Choose the whole campus, a class or a section, pick the months, and generate. Running it again never bills a student twice. An unpaid earlier voucher is replaced and its balance carried as arrears, so a family only ever has one voucher to pay. Each voucher prints bank, school and student copies on one page.
Collection and defaulters
Fees are collected by voucher or admission number. A partial payment goes to arrears first, then the fine, then the month's charges. Receipts are never edited or deleted; a mistake is reversed by an admin. The defaulters list shows overdue balances with months outstanding, and the daily collection report gives totals per payment method.
Exams and report cards
Admins set up exam terms with their weight in the annual result, the papers and their marks, the date sheet, grade bands and the pass mark. Teachers enter marks for their own subjects, save drafts and submit; a submitted sheet is locked unless an admin unlocks it. Results show totals, percentage, grade and positions in the section and class, and report cards print as one PDF. Publishing a result makes it visible to parents and locks the marks.
Staff and payroll
Staff records hold the salary structure with allowances and deductions. Staff attendance, leave types with yearly quotas and a late rule feed the payroll. Advances are recovered in monthly instalments. The accountant calculates the payroll, an admin finalizes it, and the salary sheet and payslips print as PDF.
Communication and the parent portal
Notices go to the whole campus, a class, a section or chosen students, and can also be sent on WhatsApp, one message per family. Fee reminders before the due date, defaulter reminders after it and result messages are sent automatically, and every message is kept in the message log.
Parents sign in with their mobile number. They see each of their children, even at different campuses, with attendance, fee vouchers to download, fee history, published results and notices.
Parent logins can be created for a whole section or campus in one click. Each family gets its password on WhatsApp and chooses its own at the first sign-in.
Timetable, library and transport
The timetable is built from a bell schedule, and a teacher can never be booked into two classes at once. At the end of the session, promotion moves a whole class to the next class, detains students who failed and graduates the final class.
The library keeps a catalogue with accession numbers, issues and returns books, and charges fines for late returns. Transport has routes, stops, vehicles and riders, billed on a separate transport voucher or on the school fee voucher.
Reports and the audit log
Reports cover class strength, student lists, attendance, fee collection, fee summary by class, defaulters, results and staff, downloadable as Excel or PDF. The dashboard shows each role its own figures, and head office sees a table per campus. The audit log records every important change with the user and the old and new values.
