GSTechSys-POS: A Complete Guide to Our Restaurant and Fast-Food POS

How GSTechSys-POS runs the counter, tables, kitchen, delivery and back office of a restaurant, café or fast-food shop in any country: setup, selling, kitchen screen, stock, reports, tax and the free 30-day trial.

A busy restaurant has many moving parts: a queue at the counter, guests waiting at tables, orders piling up in the kitchen, riders going out with deliveries, and at the end of the day a drawer full of cash that has to match the sales. GSTechSys-POS brings all of this into one system that works on ordinary Windows PCs and thermal printers.

This guide walks through what the software does, based on the full user manual. You can also download the complete 18-page manual (PDF).

Built for restaurants in any country

GSTechSys-POS is not tied to one country. Each shop sets up its own rules, so it fits wherever you trade:

  • Tax. Any number of tax categories with your own rates, whether your country calls it sales tax, VAT or GST. A lower rate for card payments can be set where the law has one, and prices can include or exclude tax.
  • Business details. Your name, address, phone, e-mail and tax registration numbers (for example a VAT or GST number) print on every receipt.
  • Prices and charges. Your own prices, service charge, delivery charge and rounding to 1, 5 or 10 currency units.
  • Payments. Cash, card, mobile wallet, bank transfer, customer account and loyalty points.
  • Language. English, Arabic and Urdu screens, chosen per PC and per user, with Arabic and Urdu shown right to left.
  • E-invoicing. Real-time reporting to a tax authority is prepared in the software and can be added for your country.

How it works

One PC is the server. It keeps the database with the menu, orders, payments, stock and settings, and it applies the business rules: prices, tax, numbering and stock deduction. Every other counter is a client that shows the same screens, so all counters always see the same menu, tables and orders.

Phones, tablets and TVs need no installation. They open GSTechSys-POS in a web browser, which makes them ideal for waiters and for the kitchen screen. When a counter sends an order, the kitchen screen shows it within a second, and when the kitchen marks it ready, every counter sees "Order ready".

Everything runs inside your shop over the local network, so sales never stop when the internet goes down. The internet is only needed for optional tax-authority e-invoicing and for licence requests.

Getting started

What you need

  • A 64-bit Windows 10 or 11 PC with 4 GB RAM or more (a touch screen is optional).
  • A shop network (cable or Wi-Fi) if you use more than one PC.
  • Any ESC/POS thermal receipt printer, 80 mm or 58 mm, over USB, network or serial.
  • Optional: a cash drawer, barcode scanner, pole display, or a second monitor as the customer display.

First start

Install GSTechSys-POS on every PC. On the main counter choose Server and complete the setup wizard: language, business profile (including a name in Urdu or Arabic script and your tax numbers) and the administrator account. Other counters choose Client and click Find servers.

Then set your tax rates, general settings and shop logo, add your menu (or import it from Excel, or load the demo menu to try things out), add staff with PINs and set up the printers. Most shops are selling the same day.

Users, roles and shifts

Staff log in with a username and password, or tap their name and enter a 4 to 6 digit PIN. Built-in roles cover Admin, Manager, Cashier, Waiter and Kitchen, and admins can create their own roles.

Sensitive actions need a manager even when a cashier performs them: voiding an item already sent to the kitchen, a discount above the limit, a refund, reprinting a paid receipt, a large cash difference at closing, or opening the drawer without a sale. A manager types their PIN, and the approval is written to the audit log with their name.

A shift is one cashier session at one counter. It starts with an opening float, records cash in and cash out during the day, offers an X report at any time, and ends with a counted close and a Z report. The business day runs from a cut-off time (04:00 by default), so late-night sales count for the evening they belong to.

Selling at the counter and at the tables

Quick Sale

Quick Sale is the fast counter screen. Scan a barcode, type an item code or tap a picture tile. Items with sizes, extras or deals open a choice window. Switch between takeaway and delivery at the top, apply a discount, suspend a sale and recall it later, then take payment with the cash keypad. The change is shown in large digits and a new sale starts automatically.

Restaurant POS: dine-in, takeaway and delivery

The restaurant screen is built for tables and a kitchen. Pick a table and the number of guests, add items, and press Send to pass them to the kitchen. More rounds can be sent at any time, and the bill is paid when the guests have eaten. You can also print the bill, split it, transfer an order to another table, merge orders, or hold an order. The tables screen shows every table's state in colour: free, occupied or bill printed.

Payments, receipts and refunds

One bill can be paid with several methods, for example part card and part cash. Credit sales go to the customer's account up to their credit limit, and loyalty points can be redeemed as payment. Each payment is protected against double charging.

The receipt carries your logo and business details, tax numbers, each item with a tax mark, discounts, service and delivery charges, rounding, payments and change. Invoice numbers are unique and continuous across all counters. Refunds choose the items, the reason, the method and whether stock goes back, and they need a manager PIN.

The kitchen screen and kitchen printers

Each menu item belongs to a kitchen station, such as Kitchen, Grill or Drinks. When an order is sent, each station gets its ticket on its own printer, and a kitchen slip can also print on the counter printer.

The kitchen screen runs on any TV, tablet or PC. Tickets turn yellow after the warning time and red when late. Cooks tick items as they finish them, press Ready to tell the counters and the customer display, and Bump the ticket when the food leaves the kitchen.

Delivery, customers and loyalty

Delivery customers are found by phone, with saved addresses. The delivery board tracks every order from New to Preparing, Ready, Out for delivery and Delivered, and asks which rider takes each order. When riders return, their cash is recorded in the shift, and a settlement tab shows what each rider still owes.

Customers can have credit limits, printable statements and payments received into the current shift. Loyalty points are earned per amount spent and can be redeemed above a minimum.

The menu supports English and Urdu names, pictures, separate dine-in, takeaway and delivery prices, sizes and extras, combo deals, sold-out marking and price rules for happy hours or chosen weekdays. The whole menu can be exported to Excel, edited and imported back.

Inventory links menu items to recipes, so every sale deducts the ingredients automatically. Purchases from suppliers update the average cost, and wastage, adjustments and stock counts keep the numbers honest. Shop expenses such as rent, gas and salaries are recorded by category, with a photo of the bill.

Dashboard and reports

The dashboard shows today's sales against the same weekday last week, orders, average bill, sales by hour, top items, open orders, kitchen tickets waiting and low stock. Nineteen reports cover sales, items, categories, staff, tax, exceptions, shifts, stock, customer dues, supplier payables, expenses and profit and loss. Every report can be printed or saved as PDF, Excel or CSV.

Printers, backups and security

Urdu text and the logo are printed as images, so any ESC/POS printer prints them correctly. If a kitchen printer fails, every screen shows a warning and the ticket can be reprinted.

A backup is made automatically every day and the last 30 are kept. You can also set a second backup folder on a USB drive or another PC, and restore everything on a new server PC if the old one fails.

Passwords and PINs are stored as secure hashes, every request is checked against the user's permissions on the server, and important actions such as approvals, voids, refunds, reprints and setting changes are written to the audit log.

Free trial and licence

Every installation starts as a full 30-day trial with all features. When the trial ends, new sales pause until a licence key is entered, but reports, the menu, settings and backups keep working, so no data is lost. A licence belongs to the server PC, and updates are installed on the server first, after which the client counters offer to update themselves.

Want to see it in your own shop? Request a free 30-day trial, or read the full manual (PDF) for every screen and setting.
